When HOPLONai Cloud DLP flags a policy violation, triage it by severity, contain any external sharing first, then assess how far the data spread and fix the root cause.
HOPLONai gives growing businesses a complete security operation: the tools, and the agentic AI team that operates them.
This playbook sets out the severity rules, the actions for each level and the data sensitivity labels behind every Cloud DLP alert.
Trigger: a Cloud DLP policy violation in Google Drive or OneDrive.
Input: the alert data, including the sensitivity label, violation type, affected files, users, action performed, access type and timestamp.
Severity | Typical triggers | Actions |
|---|---|---|
High | Confidential or Private files shared externally; link-based sharing of confidential data; access out of hours from unusual locations; bulk downloads above 120% of the user's average; repeated violations by one user. | Revoke access to the files. Notify IT and the user's manager. Investigate, and temporarily disable the account if compromise is suspected. Tighten sharing settings. Add the user to a DLP watchlist. |
Medium | 15 or more file views within 30 minutes; a single external share of Private or Internal data; downloads close to the baseline threshold; unusual behaviour without a confirmed violation. | Notify the user and their manager. Monitor the user for 7 days. Assign focused security awareness training. |
Low | Public or Internal files accessed during normal hours; a legitimate app or service triggering the rule; one-off viewing that fits the user's role. | Log the alert for review. Validate whether it is a false positive. No immediate action. |
Single file: confirm the file's sensitivity and how it was exposed. Notify the owner and explain secure sharing.
Multiple files: block the user's access to the affected folders and audit permissions in bulk.
Organisation-wide: look for a shared pattern, tune the policy and escalate to compliance or legal if needed.
Repeat offender: flag the user for an HR and security meeting and enrol them in a mandatory DLP refresher.
External sharing: revoke the links and enforce stricter access controls.
Bulk downloads or excessive views: set behaviour-based thresholds.
Out-of-hours or location anomaly: review sign-in logs and enforce conditional access or MFA.
Sensitive access changes: block that sharing type, notify the owner and audit similar files.
User unaware of the policy: assign awareness training on cloud data hygiene.
Confidential: card numbers, passport numbers, IBANs, social security numbers.
Private: names, email addresses, phone numbers, medical information.
Internal: IP addresses, organisation IDs, transactions.
Public: postcodes, vehicle registration numbers, card brands.

Record false positives and misses so detection rules can be tuned.
Run a policy review if the same false alert keeps repeating.
Track top violators, violation types and recurring issues over time.
A DLP policy violation is any action on a file that breaks your data protection rules, such as sharing a Confidential file outside the organisation or downloading far more files than usual.
